In order to guarantee a minimum number of computers available to users for open access practice, 15% of the total number of computers is reserved, except in the exceptional cases contemplated in points 1 and 2 of the Allocation Criteria section.
- To reserve rooms, it is essential to make the corresponding reservation request.
- The reservation request is made using a form available on the Computing Center's website.
- There is no deadline for submitting a reservation request. Each applicant will submit their reservation request when they deem it appropriate, taking into account the provisions outlined in the Reservation Request Management section.
- The reservation request must be made by the person who will actually use it or, failing that, by the course coordinator listed on the request. In any case, all notifications, information, or inquiries related to this request will be made using the contact information (email or phone) provided by the requester.
- Acceptance of the application is conditional upon its correct formalization.
- The requested schedule must be adjusted to that of the Computing Center.
- The requested reservation duration must be a multiple of 30 minutes, and the start and end times must coincide with the half hour or the hour. When scheduling classes, teachers should strive to adhere to the following established time slots:
- Morning shift: from 8:30 to 10:30, from 10:30 to 12:30 and from 12:30 to 14:30.
- Afternoon shift: from 3:00 PM to 5:00 PM, from 5:00 PM to 7:00 PM and from 7:00 PM to 9:00 PM.
- The reservation request must be completed with accurate information and tailored to actual needs. Intentionally overbooking may result in cancellation.
The Computing Center staff will manage and process reservation requests in accordance with the procedures outlined in this document, and will strive to approve as many as possible. However, due to limited resources, reservations cannot be guaranteed for all requests submitted.
In the unlikely event that several requests cannot be accommodated due to scheduling conflicts or room availability, they will be forwarded to the ETSi administration, whose decision will be final.
Rooms that are free or available at any time will be used to fulfill reservation requests according to the following criteria and priority:
- Allocation of rooms for reservation requests received for regulated teaching.
- Other educational uses: courses, seminars…
- Free access.
Regardless of the date of submission of the applications, the Computing Center will resolve the allocation of reservations and will proceed to notify them within the following deadlines (referring to calendar days):
- Applications made 28 or more days in advance will be processed and notified 21 days in advance.
- Applications made 21 or more days in advance will be processed and notified 14 days in advance.
- Applications made between 7 and 17 days in advance will be processed and notified 5 days in advance.
- No deadline is guaranteed for requests made less than 5 days in advance.
Once a booking has been confirmed, the applicant must strictly observe the following conditions of use:
- To make use of the reservation, the presence of a responsible teacher is essential.
- The teacher who will not be using the reservation is obliged to communicate this at the same time as he becomes aware of the circumstances that prevent him from doing so.
- Failure to use 2 consecutive reservations without prior notice will result in the reservation being automatically cancelled.
- A teacher is considered to have failed to attend to the reservation if 15 minutes have passed since the start of the reservation without the presence or telephone notification of the responsible teacher.
- Cancellation of more than 20% of reservations, or underutilization of more than 40% of reserved hours, will be considered as a deliberate overbooking, and therefore, management will be informed to consider cancelling it.
- In the event of any unforeseen contingency that prevents the use of the reservation, the Data Center will attempt, to the extent possible, to resolve the issue as quickly as possible, minimizing the impact on the reservation's use. If this is not possible, the Center must offer viable alternatives to the affected user.
The processing and management of requests and room reservations at the Computing Center can be done in several ways:
- Preferably, through the web form.
- In person at the User Information office.
Announcements regarding computer room reservations, and especially reservation deadlines, will be sent by email to the mailing lists profesores-etsi@listas.us.es and pas-etsi@listas.us.es . They will also be published on the Computing Center's website.
All notifications related to reservation requests will be sent by email to the address indicated in the request or, failing that, to the address we have on file for the applicant in our database.
